Although you can alter the term Driver during the customisation stage, we'll assume you're sticking with Drivers.
To edit a driver highlight one and click Driver Profile or double-click a driver from any list or box within Driver Planner.
To add a driver click Add a new Driver.
To delete a driver highlight one and click Delete Driver.
To export your driver database as a table click Overview.
The fields are self-explanatory and Driver Planner will function with as little as only the Driver's name, although there are obvious benefits in completing as many fields as possible. If you want to take advantage of the ability of Driver Planner to work out the distances between attendees and drivers you will have to enter the Postcode. Similarly if you want to use the E-Mail feature then you will have to enter an e-mail address.
This is where you will tick - all things being equal - the days when this driver is usually available to drive for you. A black tick means Available, a grey tick means "Try me if you're stuck, I might be available". Each time you click a Day it will cycle through the ticks in this sequence; Black, Grey, No tick.
When a driver goes on hoilday you can enter the dates in the Unavailable to drive list. Use the calendar to select a date, and change the number of days to 7 to enter a week for example. The default is always a single day. When entering a date range, set the number of days before clicking the start date.
If a driver has an established route and always collects the same attendees, add them to the Always drives list (regardless of how often the person attends and on which days). Driver Planner will use this information to automatically match attendees with drivers if both are available on the same day.
The Locality field is a drop-list field which will automatically populate over time as you enter different localities. Click the drop-list icon next to the field to choose one from the list instead of typing it in.
Driver Planner can be configured to allow different drivers to work in the mornings and afternoons. To switch into this mode, click the ? button in the bottom-right corner of Driver Planner and choose Work on AM/PM basis. The Usually available to drive area in the driver profile will alter accordingly. When this setting is changed it affects all users, there is no need to set it on each machine individually.
Driver Planner can also be configured to include Saturday and Sunday as part of the working week. To switch into this mode, click the ? button in the bottom-right corner of Driver Planner and choose Work on 7 working days basis. The Usually available to drive area in the driver profile will alter accordingly. When this setting is changed it affects all users, there is no need to set it on each machine individually.
Click the Customise button in the top-right corner of the profile to alter the wording of the labels and options for drivers (alterations apply to every driver, not just the one you're viewing).
Labels which can be altered will turn yellow and you can type over the top of the captions to change them to whatever is relevant to your organisation. When you're finished making changes, click the Customise button again to save the changes.
